Minutes are vital to the success of any meeting
They are short notes taken by the meeting secretary and must be accurate and clear.
  • Participants rely on them for information on subjects they did not understand, or to fill in the gaps where they lost concentration.
  • The action points act as a reminder to those who agreed to do something in the heat of the moment, but have since been overtaken by other priorities and who would otherwise forget what they were to do.
  • Those who could not attend are informed of what was decided in their absence.
Minutes serve as a historical record of the meeting and proof of the actions required and the outcomes. Writing minutes requires the ability to multi-task: to simultaneously listen to what is being discussed and to summarise the discussion. Accordingly, this one-day workshop provides attendees with an understanding of:

On this exciting one-day workshop, you will gain and in-depth understanding of the role and responsibilities of Professional Committee Secretary, as well as better comprehend the duties associated with the role:
  • Meetings: the processes and procedures and associated documentation
  • The role, duties and responsibilities of the secretary and how to build self-confidence and expertise
  • Preparation required in order to ensure a professional set of minutes is produced.
  • Minutes: taking notes, drafting the minutes and finalising these (including: an overview of the mechanics of writing, writing aids, spidergrams, separating messages from words and summarising rather than transcribing).
  • Business English, with a brief look at sentences, paragraphs, diction and punctuation.
  • Layout, including: typing rules, numbering, fonts, margins, bullets and headings.
  • Standard documents, including: notices, requests, agendas and minutes.

She has honed her English skills over a period of twenty-five years in various positions, principally in the Communication, Marketing and Training and Education fields.

She has written, re-written or edited many thousands of texts, including: annual and other reports, manuals, minutes, correspondence, websites, pamphlets, brochures and other marketing documents.

Juliet is a member of the Professional Editors' Group of SA and the English Academy of SA and is a member of the Board of Trustees of an accredited higher education institution in Pretoria.
